How to respond to buyers

Fast, professional communication turns inquiries into completed sales.

Many sales are lost not because of price or photos, but because the seller responded too slowly or not at all. Here’s how to communicate like a pro and close more deals.

Respond Within 30 Minutes

Buyers on classified sites are typically browsing multiple listings at the same time. The seller who responds first usually wins the sale. Set up notifications on the Exchstore app so you never miss a message.

Be Friendly, Clear, and Concise

You don’t need long paragraphs. A friendly, direct reply is best. For example:

Answer Every Question Fully

If a buyer asks “Does it have a warranty?” don’t just say “No.” Say: “The manufacturer’s warranty expired, but it’s in perfect working condition and I can demonstrate it before purchase.” Buyers appreciate complete answers.

Handle Negotiation Politely

When a buyer offers below your asking price, don’t reject it bluntly. Try: “The lowest I can go is ₨ X — I’ve priced it fairly based on the condition. Happy to show it to you before you decide.”

Arrange a Safe Meetup

Follow Up If No Reply

If an interested buyer goes quiet, a polite follow-up after 24 hours is acceptable: “Hi, just checking if you’re still interested — still available if you’d like to meet up!”
